How to Build an Effective Cleaning Schedule for Your Restaurant

A well-structured cleaning schedule is essential for food safety compliance. Here's how to build one that covers every surface, every shift, every day.

Why a Cleaning Schedule Matters

A cleaning schedule is not optional — it is a legal requirement. Under Regulation (EC) No 852/2004 (retained in UK law), food businesses must maintain clean and hygienic premises. EHOs expect to see a documented cleaning schedule that specifies what is cleaned, when, how, and by whom.

Beyond compliance, a good cleaning schedule prevents cross-contamination, reduces pest risk, extends equipment life, and creates a professional working environment that staff take pride in.

What a Cleaning Schedule Must Include

Every entry on your cleaning schedule should specify five things:

  1. What — the area or equipment to be cleaned (e.g., "prep surface — stainless steel counter")
  2. When — how often (e.g., "after each use", "every 4 hours", "daily at close")
  3. How — the method and chemicals used (e.g., "spray with food-safe sanitiser, wipe with disposable cloth")
  4. Who — the person or role responsible (e.g., "closing chef")
  5. Sign-off — a space for the responsible person to sign and date after completion

Daily Cleaning Tasks

These tasks must be completed every day, typically split across opening, during service, and closing shifts.

Opening (Before Service)

  • ☐ Wipe down all food preparation surfaces with food-safe sanitiser
  • ☐ Check and record fridge and freezer temperatures
  • ☐ Inspect deliveries — check temperatures, packaging integrity, and use-by dates
  • ☐ Empty and sanitise any bins that were left overnight
  • ☐ Check handwash basin — refill soap, sanitiser, and paper towels
  • ☐ Clean and sanitise chopping boards
  • ☐ Run dishwasher through a hot cycle to sanitise

During Service

  • ☐ Wipe preparation surfaces between tasks (especially between raw and cooked food)
  • ☐ Change cleaning cloths frequently — use disposable cloths or colour-coded reusables
  • ☐ Sweep floors as needed to remove food debris
  • ☐ Clean spills immediately to prevent slips and cross-contamination
  • ☐ Empty bins when full — do not let them overflow
  • ☐ Monitor hot holding temperatures every 2 hours

Closing (After Service)

  • ☐ Clean and sanitise all preparation surfaces
  • ☐ Clean all cooking equipment — grills, fryers, ovens, hobs (deep clean weekly)
  • ☐ Clean and sanitise sinks
  • ☐ Run dishwasher through a final cleaning cycle and leave the door open to air
  • ☐ Sweep and mop all floors with appropriate cleaning chemicals
  • ☐ Empty all bins, line with fresh bags
  • ☐ Clean waste storage area
  • ☐ Store all food correctly — cover, label, and refrigerate
  • ☐ Record closing temperatures for fridges and freezers
  • ☐ Clean and store chopping boards upright
  • ☐ Ensure handwash basin is stocked and clean
  • ☐ Sign off the daily cleaning schedule

Weekly Cleaning Tasks

  • ☐ Deep clean ovens, grills, and fryers — remove grease build-up
  • ☐ Clean behind and underneath equipment (fridges, fryers, prep tables)
  • ☐ Clean and descale dishwashers
  • ☐ Wash walls in cooking areas to remove grease splatter
  • ☐ Clean extractor hood filters — soak in degreaser, rinse, dry
  • ☐ Clean fridge and freezer interiors — wipe shelves, check for expired stock
  • ☐ Clean and sanitise storage shelves
  • ☐ Check and restock cleaning supplies
  • ☐ Review cleaning schedule — any tasks missed? Any areas needing extra attention?

Monthly Cleaning Tasks

  • ☐ Deep clean entire kitchen — ceiling to floor
  • ☐ Clean ceiling tiles and light fittings (remove grease and dust)
  • ☐ Clean ventilation ducts and check filters
  • ☐ Deep clean walk-in fridges and freezers — defrost if necessary
  • ☐ Clean and inspect pest control equipment (traps, fly units)
  • ☐ Review pest control reports and address any issues
  • ☐ Calibrate probe thermometers
  • ☐ Inspect premises for maintenance needs (cracks, leaks, damaged seals)
  • ☐ Review and update cleaning schedule based on audit findings

Choosing the Right Cleaning Chemicals

Use only food-safe cleaning products in your kitchen. You need two types:

  • Detergent — removes grease, dirt, and food residue. Use this first to clean the surface.
  • Sanitiser / disinfectant — kills bacteria. Apply after cleaning to sanitise the surface.

Always follow the manufacturer's instructions for dilution rates and contact time. A sanitiser that is too dilute will not kill bacteria; one that is too concentrated may leave harmful residues.

Never mix cleaning chemicals, and store them away from food and food-contact surfaces.

Common Cleaning Mistakes

  • Using the same cloth all day — Cleaning cloths are one of the biggest sources of cross-contamination. Change them frequently or use disposable cloths.
  • Cleaning without sanitising (or vice versa) — You need both. Cleaning removes visible dirt; sanitising kills invisible bacteria.
  • Not allowing contact time — Sanitisers need time to work. Spraying and immediately wiping off does nothing. Check the label for the required contact time (usually 30 seconds to 5 minutes).
  • Ignoring equipment undersides and behinds — Grease and food debris accumulate under and behind equipment, attracting pests.
  • Signed-off schedules that were not actually completed — EHOs can tell. If the schedule is signed but the kitchen is dirty, you have a bigger problem than a missed task.

How SmartHaccp Manages Cleaning Compliance

SmartHaccp includes a digital cleaning schedule module. Tasks are assigned to specific staff, tracked in real time, and logged automatically. Missed tasks trigger alerts. Managers can see at a glance which areas are compliant and which need attention. When an EHO asks for your cleaning records, you generate a complete report in seconds.
